NGVLA SAC Exexutive Committee Meeting Present: Eric Murphy, Alberto Bolatto, Andrea Isella, Brenda Matthews, James Di Francesco, Josephn Lazio 1. NGVLA Presence at AAS231 - Meeting went well, excellent talks and posters. There were 30 posters, giving the project a strong presence. NRAO Town Hall included some NGVLA. NSF Town Hall mentioned NGVLA is the first new big initiative for NSF!! 2. Science Book - Many (but not all) submissions made the December 22 deadline. These all need to be put into the repository. Need to see where we are with all the missing drafts. Need to keep people engaged, sending them e-mails at the very least thanking them for their contributions so far. This should be done by the end of the month, or at least next telecon in two weeks. - What about refereeing? Needs to be done at the end of March by the SAC and be as thorough as we can (may take a couple of months). - Google Drive currently has some contributions - Each chapter needs to have an abstract, so it will be searchable by ADS. Template has been changed to include them. Need to encourage authors to include a 2-3 sentence abstract. - the name Chapter is a misnomer. Each Chapter is being considered here as a submission, though in reality the Science Book will cast these as sub- sections of larger Chapters - Excel spreadsheet on google doc with chapters needs to be updated, so we can see who's missing - need to update oddly formatted message sent out just after the New Year 3. June Meeting - Need to have a meeting of SOC chairs go see how invitations for speakers are going. Looks like there are a few invited speaker gaps still in the program. - Registration open on February 1, e-mail blast will be sent out at that time. - Next big thing for the SOC is reviewing contributed talk abstracts, after abstract submission is open (separate from registration? - needs to be worked out)) - Meeting planned with Karen Ransom for January 18th - some interest at AAS231 about Portland Meeting - proposal to run the Decadal Survey is anticipated for March, call for science white papers in summer/fall, have them in before panels are chosen, have a chair by December-ish. 4. Outreach Plan - Coordinate efforts to give talks for the rest of the year - Short movie at AAS? Eric: got the EPO people involved. - NRAO had a reporter's session at AAS231, pitched NGVLA. Making a video for American Physical Society, a bunch of things planned including 5-minute "science nuggets" to be put on the web. - science brochure will be mailed out to SAC, ready to flood the community - need to print poster for the conference, mail it out, Eric has some ideas but please suggest targets. OK to send some overseas, target Germany, Japan, and Mexico (and Phil Diamond). 5. Future Telecons - proposal to have them now at least 30 minutes later, maybe 12:30 PM PST = 3:30 PM EST.
