    • TAC Reports. The TAC chair is reviewing the TAC comments and will send any comments by Friday (12 May). The GBO TAC report is public. DanaBalser will make the NRAO and LBO TAC reports public on Friday and let folks know when complete.
    • Disposition Letters. ToneyMinter will send out the GBO disposition letters on Friday when ready. BarryClark is currently checking that the VLA disposition letter text matches the table which may take until Friday afternoon to complete. Once complete he will push the button to send out the VLA emails and let folks know when done. MarkClaussen is still working on the VLBA disposition letters but should be complete by today. Once he gets the word from BarryClark he will push the button to send out the VLBA emails. After some discussion we agree to send out GMVA emails that say we will inform them of their disposition once all telescope TACs have finished their review. DanaBalser will craft text and send it to MarkClaussen and LewisBall for review. MarkClaussen will decide whether to do this within the PHT or outside the tool. Either way RickLively will have to insert the final disposition letter into the PST using a script. ToneyMinter will send the GBT letters to RickLively as was done last semester.
    • Science Program/Public Bit. The GBO science program is public. DanaBalser will produce a draft program for the NRAO and LBO using the PHT csv file with help from DavisMurphy. The plan is to make these public next Friday (19 May). RickLively will then transfer times and set the public bit automatically. ToneyMinter will then run the script to make these public for the GBT.
  • 18A
    • PST Status. RickLively reports that most items are complete and will be released on webtest on Monday (15 May). There was extensive discussion about two tickets:
      • Source Validation (SSA-3926): The GBT and VLA are straight forward. We use the elevation limit and latitude to determine the minimum Dec possible. The VLBA and GMVA are more complicated since they depend on the stations used. This requires tapping into the Resource page. In some cases stations are input into a textbox and may not have a consistent names. We agree to just use -60 deg as the limit which will trap the most egregious cases.
      • Calculate LST (SSA-3927): LorantSjouwerman noted that for the VLBA and GMVA that this button, which should be to calculate the GST, may not be correct depending on the stations used. Is this useful? It probably will not help the scheduler unless it is reliable, but it may be useful for the proposer in cases where only the VLBA is used. It was not entirely clear that this button was implemented for the VLBA and GMVA. DanaBalser will confirm if the button exists for the VLBA and GMVA and then we will decide how to proceed.
    • Proposal Deadline Dates. EmmanuelMomjian suggested moving the proposal deadline dates to the first Wednesday of the month (either February or August) to avoid Mondays and having folks work over the weekend. GarethHunt suggested maybe shifting this by a few weeks to avoid the ALMA deadline colliding with the TAC meeting. We agreed to changing the deadline to the first Wednesday, but felt it was not worth shifting by a few weeks since there is always some telescope deadline and ALMA's date is not fixed. LewisBall will take this up with the director and the User's Committee. So we agreed that "Regular, Large, and Triggered proposals can be submitted twice a year on the first Wednesday in August for the A semester and the first Wednesday in February for the B semester."
  • AOB
    • SRP/TAC Recruitment. We agreed that for 18A that MarkClaussen will take over the SRP recruitment for DavidFrayer (NGA and HIZ) since there is only one and we will try to find somebody else to help in 18B. DanaBalser will ping JayLockman to confirm that he will continue to help with recruiting for AGN and EGS. LewisBall confirms that the TAC chair's term was extended beyond 17B. Once we check the number of reviewers to recruit in 18A we will assess if we need external help recruiting women. ToneyMinter suggested solicitations at the Women in Astronomy conference in June.
    • Timeline. DanaBalser will draft a timeline soon (next few days).
