Text from UC Report: "Most of the time allocation process was fairly routine. The committee had asked in the past for a breakdown not just of oversubscription by proposal number, but also by time requested. It appeared that the data had not been collected in a consistent manner for these two ways of looking at the oversubscription. In particular, the committee was curious about why the GBT oversubscription oscillated strongly in hours, but not in proposal number. Regardless of the metric, oversubscription rates appear to be somewhat higher to much higher than on NOAO facilities."
VLBA in Active Triggered/Large Pages. MarkClaussen reported that he has included the VLBA active Large proposals, but he still needs to include the VLBA active Triggered proposals and the VLBA historical Large proposals.
Release CfP. No issues were reported with the release of the NRAO/GBO CfPs. MarkClaussen noted that he has changed the VLBA 21A proposal VLBA/21A-001, which is Sponsored, to VLBA/20A-581; this was not possible until the PST items were released with a ticket to fix a bug when editing VLBA proposals.
Release Proposals for Review. DanaBalser reminded the TTA group that the plan is to releaase proposals for review at least a day earlier (6 August), if possible, so that the EGS chair can assign reviewers before he leaves. MarkClaussen reported that he has contacted the EGS chair with an update of the panel membership. BarryClark and AmyMioduszewski confirmed that the science categories they were assigned were okay. There was some uncertainty as to whether we needed to assign the technical reviews or not before we moved the PST to the next phase; the plan is to test this on webtest. RickLively will run his script to populate the 21A science reviews with those of 20B; the PST does not do this very well automatically. MarkClaussen can then edit this list.
PST Review Tickets Status. LorantSjouwerman reported no work done yet on the seven tickets. DanaBalser noted that it would be best to start testing these tickets before the week of the proposal deadline when things will get busy for the testers. RickLively reported that he removed the PST metrics ticket from the PST review list. AnandCrossley will set up a meeting with DanaBalser next week to discuss this ticket. RickLively will discuss this with folks in Green Bank so there is access to both NRAO and GBO data.
SRP Recruitment. MarkClaussen reported that only one vacancy remains. AmyMioduszewski is planning to fill the one vacancy in PCO for only one semester, assuming the current PCO SRP member will only miss one semester. MarkClaussen reported that once the last vacancy is filled he will send out a gender report.
User Committee Report. We plan to discuss this next week.
Disposition Letter Email Address. Based on a recent helpdesk ticket, LorantSjouwerman proposed that we should send disposition letters to the current author email address, not those listed on the proposal since the email address can change between the time the proposal is submitted and the mailing of disposition letters. RickLively reported that he thinks the PHT already uses the profile email addresses (instead of the proposasl email address); BarryClark confirms this behavior. The recent helpdesk ticket was a GBT proposal; ToneyMinter noted that the author had three accounts which added some confusion. The GBT PHT uses the proposal email address. MarkClaussen felt we were spending too much time on this issue which is very rare. Nevertheless, the plan is for RickLively to confirm that PHT behavior and discuss this with the GBO software developers. We agreed that the best mode would be to use the user profile email address. In a query from AnandCrossley about the non-default email addresses, ToneyMinter said that the GB does use these addresses (e.g., DSS). MarkClaussen noted the non-default email address can be useful when contacting folks (e.g., problems with default email).
